our plant identification application.
Data Controller Information
Plant Scan is operated by Core Digital Apps (sole proprietorship). For privacy-related inquiries:
Core Digital Apps is the data controller responsible for your personal information collected through this app.
Guest Mode vs Account
Plant Scan can be used in two ways:
Guest Mode (No Account Required)
You can use the app without creating an account. In guest mode:
- All data is stored locally on your device only
- No personal information is collected
- Plant identifications, history, and favorites are stored in a local database on your device
- Usage limits are tracked at the device level
- Premium subscriptions are stored securely on your device
- Data remains on your device and is not backed up to the cloud
Account Creation (Optional)
Creating an account is optional and provides these additional benefits:
- Cloud backup of your plant history and favorites
- Access your data across multiple devices
- Recover your data if you reinstall the app or get a new device
- Sync your preferences and settings
Information We Collect
For Guest Users (No Account)
When using the app without an account, we collect minimal information:
- Device-level usage tracking (to enforce free tier limits)
- Error logs for troubleshooting (anonymous)
- No personal information is collected or stored on our servers
- All plant data is stored only on your device
For Account Users (Optional)
If you choose to create an account, we collect:
- Email address
- Password (encrypted and hashed)
- Account creation date
- Subscription status and tier
- Plant history synced from your device (optional)
Plant Identification Data
When you use our plant identification features, we collect:
- Photos you upload or capture
- Identification results and history
- Favorite plants you save
- Usage statistics (number of identifications)
Technical and Diagnostic Data
To improve service quality and fix issues, we may collect:
- Error logs and crash reports
- Device type and operating system
- App version and usage patterns
This data is used solely for troubleshooting and improving the app experience.
User Preferences and Settings

These preferences are stored to provide a seamless experience across devices.
Device-Level Data Storage (Primary)
Plant Scan uses an offline-first architecture. ALL users (guest and account) have their data stored locally on their device:
- Plant identification history (stored in local SQLite database)
- Favorite plants (stored in local SQLite database)
- Premium subscription status (stored in secure device storage)
- Usage tracking (stored in secure device storage to enforce limits)
- App preferences and settings (stored in device storage)
- Theme preferences (dark mode, light mode)
For account users, this local data is additionally synced to the cloud as a backup. The local database is always the primary source of truth.
Legal Basis for Processing (GDPR)
For users in the European Economic Area (EEA), UK, and other regions with data protection laws, we process your personal data based on the following legal grounds:
- Consent: When you create an account or agree to use our services
- Contract Performance: To provide plant identification services you've requested
- Legitimate Interests: To improve our service, fix bugs, and ensure security
- Legal Obligations: To comply with applicable laws and regulations
You have the right to withdraw consent at any time by deleting your account or contacting us.
How We Use Your Information
For Guest Users
We use device-level data to:
- Provide plant identification services
- Store your plant history locally on your device
- Track usage limits (device-level, not tied to personal identity)
- Store premium subscription status securely on your device
- Diagnose and fix technical issues (anonymous error logs)
For Account Users
In addition to the above, we use your account information to:
- Maintain your account and cloud backup
- Sync your data across multiple devices
- Link subscription status to your account for multi-device access
- Restore your data if you reinstall or get a new device
Data Sharing and Marketing
We respect your privacy and are committed to protecting your personal information:
- We do NOT sell your personal data to third parties
- We do NOT share your data with third parties for marketing purposes
- We do NOT use your information for advertising or promotional campaigns
- Your email address is used only for account-related communications
We only share data with essential service providers (Plant.id for identification, Apple/Google
for payments) to deliver the core functionality of the app.
Data Storage and Security
Your data is stored securely using industry-standard encryption:
- Account data is stored on secure cloud servers
- All data transfers are encrypted using SSL/TLS
- Passwords are hashed and never stored in plain text
- Photos are processed securely and not stored permanently unless saved by you
Third-Party Services
We use the following third-party services:
Plant.id API
- Used for plant identification
- Photos are sent to their API for processing
- Subject to Plant.id's privacy policy
Payment Processing
- Apple App Store (iOS) for subscription management
- Google Play Store (Android) for subscription management
- Subject to Apple's and Google's respective privacy policies
Your Rights
You have the right to:
- Access your personal data
- Correct inaccurate data
- Delete your account and all associated data
- Export your data in a portable format
- Object to processing of your personal data
- Restrict processing in certain circumstances
- Lodge a complaint with your local data protection authority
Data Portability and Export
You can export your data at any time:
- Account users: Contact support@coredigitalapps.com with subject "Data Export Request"
- We will provide your data within 30 days in a downloadable package
- Export format: ZIP file containing JSON data + image files
- JSON includes: plant names, scientific names, identification dates, confidence scores, favorites status, account information, usage data
- Images: Provided as separate JPG/PNG files with filenames referenced in the JSON
- Guest users: All data is stored locally on your device in SQLite database format with images in local storage
Data Retention and Deletion
Guest Users
As a guest user, all your data is stored only on your device:
- Data remains on your device until you uninstall the app
- No data is stored on our servers
- You control your data entirely through your device
- Clearing app data or uninstalling removes all local data
Account Users - Account Deletion
You can delete your account at any time:
- In-App: Open the app → Profile tab → Settings → Delete Account button
- Alternative: Email support@coredigitalapps.com with subject "Account Deletion Request" and include your registered email address
When you delete your account:
- Account information is permanently deleted from our servers immediately
- All cloud-backed identification history is permanently deleted
- All cloud-backed favorite plants are permanently deleted
- User profile and preferences are permanently deleted
- Usage tracking data is permanently deleted
- Cached subscription data is cleared from device storage
- You will be signed out immediately
Please note:
- Account deletion is permanent and cannot be undone
- Local device data remains until you uninstall the app
- Subscription transaction records may be retained by Apple/Google for their compliance requirements
- Anonymous error logs may be retained for up to 90 days for debugging purposes
Data Retention Periods
We retain your data for the following periods:
- Account data: Until you delete your account
- Identification history: Until you delete your account or individual items
- Error logs: Maximum 90 days after creation
- Transaction records: As required by Apple/Google (typically 7 years for tax compliance)
- Guest user device data: Until the app is uninstalled or data is cleared
Children's Privacy
Our service is not intended for children under 13 years of age. We do not knowingly collect
personal information from children under 13. If you believe we have collected information from
a child under 13, please contact us immediately.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by updating the "Last Updated" date at the top of this policy. Continued use of the app after changes constitutes acceptance of the updated policy.
